Coordinator, Industry Affairs

The Coordinator, Industry Affairs is responsible for providing administrative support to a department focused on market sectors, related data, and membership. The Coordinator manages the majority of meeting preparations for the department including material preparation and venue logistics.

ESSENTIAL JOB FUNCTIONS:

Industry Affairs

  • Provide administrative and substantive support to the department, including ordering supplies, reviewing and drafting correspondence, emails and memos, handling mail, copying and scanning
  • Maintain and track budget codes for assigned sectors and issues; process invoices and check requests; send monthly financial reports; and communicate status as needed
  • Maintain committee distribution lists; distribute letters, meeting notices, and memos
  • Draft, proof-read, and edit cover letters and documents for the department
  • Maintain department-wide filing system in conformance with the Association's record retention policy
  • Manage the clearance process for outgoing documents requiring staff or legal review
  • Answer and accurately direct incoming calls from AF&PA members and outside parties
  • Coordinate member and sector developments with Communications team for potential social media and website updates
  • Understand member participation and interests; maintain and update committee distribution lists as appropriate (for mailing letters, e-mail notices, etc.)
  • Conduct research and participate in special projects as approved by supervisor

Meeting Coordination

  • Schedule and coordinate meetings hosted or attended by Industry Affairs staff
  • Oversee project management for assigned internal and external meetings for Industry Affairs. Responsibilities include the following:
  • Coordinate agendas
  • Prepare meeting books
  • Assist with meeting material preparation and distribution
  • Prepare and send approved meeting invites, memos and associated links
  • Manage the staff and legal review process for outgoing documents
  • Prepare numbers and equipment for conference calls and webinars
  • Set up materials and equipment in conference rooms
  • Draft text and create graphics for PowerPoint presentations
  • Prepare meeting minutes, notes and action items

Membership Support

  • Record membership developments in AMS
  • Assist with preparation of material (briefing packets & slide decks ) for VP/Sector Execs & CEO for member visits and new member overviews
  • Provide support as needed for overall membership efforts

QUALIFICATIONS/SKILLS/KNOWLEDGE:

  • Excellent communication skills in writing, editing and public presentation
  • Strong organizational and project management skills to effectively balance competing priorities in a fast-paced environment
  • Strong administrative skills (typing, file organization, copying, etc.)
  • Proficient in mathematical skills for day-to-day business calculations
  • Strong critical thinking, analytical and research skills
  • Ability to produce high quality work within tight deadlines
  • Excellent interpersonal skills; ability to maintain positive rapport with co-workers
  • Proficiency with Microsoft Word, Excel, and PowerPoint
  • Ability to occasionally travel to different locations in the U.S.
  • Ability to occasionally work outside of regular business hours/days
  • Interest in business, manufacturing, and sustainability issues

EDUCATION/EXPERIENCE REQUIREMENTS:

  • Bachelorís degree in a relevant area of study (political science, marketing, business administration or communications) preferred
  • Two or more years of relevant office work experience
  • Experience working in an association preferred
